Mark someone sick or on time off
Last updated 22 October 2026
Use this when someone cannot take bookings. A sick day or time off shows on their column in the calendar, and clients cannot book them for that time.

This is not the same as a lunch break or a meeting. Those are blocked time, and the person is still working that day.
Mark time off
- 1Open Calendar.
- 2Select the person's name at the top of their column.
- 3Choose Add time off.
- 4Tap each day they are away. Use the arrows to move between months. You can pick days that are not next to each other, up to 31 days at a time.
- 5If it is only part of one day, tick Part of the day and set the start and finish. The rest of that day stays bookable.
- 6Add a note if you want one, then choose Add to diary.
The days you picked are blocked on the calendar. If you chose more than one day, each day is a full day off.
Mark a sick day
- 1Open Calendar.
- 2Select the person's name at the top of their column.
- 3Choose Add sick day.
- 4Tap every day they are sick. If they are off for more than one day, select each of those days. You can pick up to 31 days at a time.
- 5Choose Add to diary.
A sick day always runs until the end of that day. You do not set a finish time. Clients cannot book them for any of the selected days.
Change or remove it
Select the Sick or Time off label on their column.
- To change the days, tap days on or off, then choose Update diary.
- To take it off the calendar, choose Remove and confirm.
Removing it puts those days back. It does not delete the person, and it does not cancel appointments that were already booked.
What you see on the day
People who are sick or on time off stay on the calendar when Working here is selected. Their column is shaded, so you can see they cannot be booked.
If nobody has a shift that day, the calendar says no one is scheduled, names the location and the day, and lists who has no shift or who is at your other salon. Show the whole team lists everyone, including people with no shift.
You can also do this from Rota
Team, then Rota, is where you set someone's normal hours. You can still mark a day as holiday or sick there. The calendar is the quicker place when you already know which days they are away.
